Privacy Notice

The Southeast Evanston Association ("SEA," "we," "us," or "our") respects the privacy of the people who visit our website, join or support the organization, subscribe to our communications, attend our events, contact us, or interact with our official social-media accounts. This Privacy Notice explains the information we collect, how we use and share it, and the choices available to you.
This Notice applies to information handled by SEA through southeastevanston.org, SEA-controlled email accounts and forms, membership and event activities, and SEA-controlled social-media accounts. It does not govern the independent practices of third-party websites, platforms, or services.
1. Information we may collect
Information you provide directly
Membership and contribution information, such as your name, household or mailing address, email address, telephone number, membership level, renewal status, contribution amount, and transaction date.
Contact and participation information submitted through email, contact forms, surveys, event registrations, board nominations, or other organizational forms.
Communications and correspondence, including questions, comments, concerns, documents, photographs, or other materials you choose to send us.
Email-subscription information, such as your email address, name, signup source, subscription preferences, and engagement with SEA messages.
Information you provide through SEA's official social-media pages, including public comments, reactions, and private messages.
Payment information
Payments for memberships or gifts are processed through third-party commerce and payment services. SEA does not intend to receive or retain your full payment-card number or security code. SEA may receive limited transaction information needed to confirm payment, administer a membership, issue a receipt, manage a renewal, or maintain financial records.
Information collected automatically
When you visit our website or open an email, our service providers may automatically collect technical and usage information, such as Internet Protocol address, browser and device type, operating system, approximate location, referring page, pages viewed, links clicked, and dates and times of activity. Cookies and similar technologies may be used to operate the site, remember preferences, measure traffic, and understand the performance of our communications.
2. How we use information
SEA may use information to:
process memberships, gifts, renewals, cancellations, acknowledgments, and related records;
respond to questions, concerns, requests, and neighborhood issues;
send newsletters, notices, meeting information, event invitations, membership reminders, and other SEA communications;
organize events, surveys, board activities, nominations, and other association business;
understand community interests and support SEA's civic, neighborhood, preservation, lakefront, park, public-safety, and quality-of-life work;
maintain accurate organizational, membership, governance, accounting, and historical records;
operate, secure, troubleshoot, and improve our website, forms, communications, and services;
prevent fraud, misuse, or security incidents and comply with applicable legal obligations; and
carry out another purpose disclosed when the information is collected or authorized by you.
3. When we may share information
SEA may share information in the following limited circumstances:
With service providers that help us host the website, manage memberships, process payments, send email, operate forms, store records, provide analytics, or support other organizational functions. These providers may use the information only as permitted by their agreements and applicable law.
With SEA officers, directors, committee members, or authorized volunteers who need the information to perform SEA work and are expected to treat it appropriately.
With a government office, public body, community organization, professional adviser, or other recipient when necessary to address a matter you raised, when you ask or authorize us to do so, or when the nature of the submission makes that sharing reasonably apparent.
When required by law, legal process, or a valid governmental request, or when reasonably necessary to protect SEA, its members, website users, or others from fraud, misuse, safety threats, or legal harm.
With your consent or at your direction.
SEA does not sell or rent personal information for money or commercial marketing. SEA also does not provide its membership or subscriber list to another organization for that organization's independent marketing or fundraising unless the affected individuals consent.
4. Public communications and public records
Information you post publicly on social media or submit for publication may be visible to others. If you ask SEA to forward a message, concern, petition, letter, photograph, or other material to an elected official, government agency, public body, news outlet, or community audience, that material—and identifying information included with it—may become public or may be subject to disclosure under public-records laws. SEA will not intentionally publish your private email address or telephone number unless you authorize it or publication is necessary for the requested purpose.
5. Email, membership, and cookie choices
You may unsubscribe from marketing or newsletter emails by using the unsubscribe link in the message. SEA may still send transactional or administrative messages relating to an active membership, payment, event registration, or request.
You may contact SEA to update your membership or contact information, ask about a recurring membership, or request cancellation of future renewals. Cancellation does not ordinarily reverse a payment already processed.
You may control many cookies through your browser settings and any cookie controls made available on the website. Disabling some cookies may affect website functionality.
6. Access, correction, and deletion requests
You may ask SEA to provide, correct, or delete personal information associated with you. We will make a reasonable effort to honor verified requests, subject to legal obligations, financial and governance recordkeeping, security needs, the rights of others, and information that must be retained to complete a transaction or resolve a matter. We may ask for information reasonably necessary to verify the request.
7. Data retention
SEA retains personal information only for as long as reasonably necessary for the purposes described in this Notice, including membership administration, communications, organizational history, accounting, legal compliance, dispute resolution, and security. Retention periods vary by record type. When information is no longer reasonably needed, SEA will seek to delete, anonymize, or securely dispose of it where practicable.
8. Data security
SEA uses reasonable administrative, technical, and physical measures appropriate to the nature of the information we handle. These measures may include limiting access, using established service providers, maintaining account security, and using multi-factor authentication where available. No method of transmission or storage is completely secure, and SEA cannot guarantee absolute security.
9. Children
SEA's website and online services are intended for a general community audience and are not directed to children under 13. SEA does not knowingly collect personal information online from a child under 13 without appropriate authorization. A parent or guardian who believes a child has submitted personal information may contact us to request review and deletion.
10. Third-party services and links
SEA relies on third-party services that may include Squarespace for website and commerce functions, Mailchimp and ActionNetwork for email communications, payment processors, analytics providers, and social-media platforms. Those services have their own privacy policies and may independently collect information when you use them. SEA is not responsible for the privacy practices of third-party websites or services linked from our site.
11. Changes to this Notice
SEA may update this Privacy Notice to reflect changes in our practices, technology, services, or legal obligations. We will post the revised Notice on our website and update the date above. Material changes may also be communicated through our usual member or subscriber channels when appropriate.
